Position Summary

Fountain of Life Lutheran Church seeks a dependable, organized, and capable Operations Manager to oversee the congregation’s day-to-day business and administrative operations. The church has a substantial campus that includes buildings and facilities leased or rented to community organizations. Property and tenant management are important components of this position.

The Operations Manager coordinates business administration, property and tenant matters, facilities maintenance, human resources administration, and facility rentals. The position works closely with the Board of Directors, church staff, volunteers, tenants, vendors, and professional service providers to maintain effective operations and support the congregation’s mission.

Primary Responsibilities

1. Property and Tenant Management

  • Serve as the primary administrative contact for tenants and coordinate responses to tenant questions and maintenance requests.

  • Maintain lease files, track lease terms and renewal dates, and assist with lease preparation, renewals, and negotiations as directed by the Board.

  • Maintain accurate records of rent and other tenant payments, monitor payment status against lease requirements, and coordinate with the bookkeeper to reconcile payments and follow up on outstanding amounts as appropriate.

  • Help ensure that the church and its tenants meet their respective obligations under lease agreements.

  • Coordinate tenant-related maintenance, repairs, and other property needs.

  • Assist the Board in evaluating opportunities to improve the use of church property and facilities, including coordinating with professional property-management advisers as directed by the Board.

2. Facilities and Maintenance

  • Coordinate routine facility maintenance, repairs, and upkeep of church buildings and grounds.

  • Communicate with maintenance personnel, contractors, and service providers; obtain estimates and coordinate work as appropriate.

  • Monitor facility conditions and bring significant maintenance needs, safety concerns, and potential capital expenses to the Board’s attention.

  • Coordinate facility access, setup, and other logistical needs for church activities and approved outside uses.

  • Maintain appropriate records of maintenance activities, service agreements, and related expenses.

3. Business and Administrative Operations

  • Coordinate day-to-day business-office operations and maintain organized administrative records.

  • Coordinate accounts-payable processes with the bookkeeper and/or accountant, including invoices, vendor payments, contracts, and supporting documentation.

  • Coordinate purchasing and routine vendor relationships within the authority and budget established by the Board.

  • Maintain appropriate records of church business transactions and administrative activities.

  • Assist with budget preparation, financial record gathering, insurance administration, and other recurring business requirements in coordination with the Board and relevant professional advisers.

  • Maintain accurate church records related to offerings, attendance, and contributions, using ChurchTrac or other designated software.

  • Coordinate bank deposits and other routine financial-administration tasks as assigned.

  • Support church events and activities with scheduling, records, and administrative coordination as needed.

4. Human Resources and Personnel Administration

  • Coordinate recruiting and hiring activities as directed by the Board, including posting openings, coordinating interviews, checking references, and preparing employment paperwork.

  • Coordinate employee onboarding and offboarding, including required forms, policy acknowledgments, training arrangements, departure checklists, and related records.

  • Maintain accurate, complete, and confidential personnel files and employment documentation.

  • Coordinate payroll administration by gathering and verifying employee information, timekeeping records, and authorized pay changes, and working with the bookkeeper or payroll provider to ensure timely and accurate processing.

  • Assist with employee benefits administration, including enrollment information, coordination with benefits providers, and maintenance of related records.

  • Coordinate the administrative tracking of employee leave and related documentation, consulting the appropriate provider or adviser when needed.

  • Help maintain current personnel policies and employment procedures, communicate established expectations, and seek qualified guidance on employment-law or regulatory questions.

  • Serve as a point of contact for routine employee administrative questions and refer sensitive or complex personnel concerns to the Board or its designated representative.

  • Coordinate employee training and assist with the administration of performance reviews as directed by the Board.

  • Assist the Board in identifying staffing needs and improving personnel-administration processes.

All personnel actions, compensation decisions, benefit-plan decisions, and other matters reserved to the Board remain subject to Board approval and direction. The Operations Manager coordinates and administers these activities but does not independently exercise authority reserved to the Board.

5. Facility Rentals and Scheduling

  • Respond to inquiries about facility use and outside rentals.

  • Coordinate approved rental arrangements, scheduling, access, setup, and related communications.

  • Maintain facility-use calendars and appropriate rental records.

  • Help ensure that facility users follow applicable church policies and rental agreements.

  • Refer proposed rental arrangements, exceptions, and other matters requiring approval to the Board or its designated representative.

6. Board Support and Reporting

  • Attend Board meetings as requested and provide updates on business operations, property and tenant matters, maintenance, personnel administration, and other assigned responsibilities.

  • Prepare reports and maintain records that help the Board monitor operations and make informed decisions.

  • Communicate significant operational concerns, anticipated expenses, tenant issues, personnel matters, and other items requiring Board attention.

  • Carry out administrative assignments and implement Board-approved policies and decisions.

  • Coordinate with the Pastor and other church staff on operational matters that support church activities, while recognizing that the Operations Manager reports to the Board through the Vice Chairman and that governance responsibilities remain with the appropriate church authorities.
