Couples, individuals and groups come to the retreat to escape their daily routine to be refreshed and reconnected with their spouses, teammates or God. WinShape Retreat is located in the middle of a 26,000 acre wildlife preserve on Berry College’s Mountain Campus in Rome, GA.

Scope of Position

The Conference Services Planner is responsible for planning, coordinating, and executing events at WinShape Retreat. The Conference Services Planner is the primary contact with guest group leaders as they plan their future event(s) at WinShape Retreat and is responsible for the sales of services and product offerings as well as the detailed information coordination needed to prepare for the arrival of groups at WinShape Retreat. The Conference Services Planner oversees and coordinates the delivery of these products and services with other Conference Services staff during events at WinShape Retreat.

Key Job Responsibilities:

DEVELOPS a relationship with and ASSISTS the group leaders in planning events and meetings that fit the goals and vision of their group.

IDENTIFIES the details of group events and SCHEDULES matching WinShape Retreat services and resources to the needs and desires of the group.

RECORDS and Maintains accurate information in the Property Management System (PMS), communicating details about group reservations to all WinShape Retreat departments.

PARTICIPATES in Guest Service meetings and CONTRIBUTES key information to aid with and ensure the fullest preparation by all departments for upcoming group events.

SCHEDULES space and times with Berry College, other WinShape Ministries, and external service providers as needed for lodging, meeting and/or programming requests outside of WinShape Retreat.

SUPPORTS the implementation and recording of policies, published rates and any scholarship, discount or exceptions to these rates.

OVERSEES group event logistics making sure Guest Service employees understand their role during an event as well as communicating any special needs of the group to those same employees.

EXECUTES post event processes including the auditing of services provided, accuracy of pricing of those services, and initiation of communication with the Retreat business office for any invoicing, reconciliation and/or collection of amounts due following the event.

MAINTAINS inventory of meeting, dining and lodging space.

WELCOMES group leaders to WinShape Retreat and MAINTAINS contact with the leader throughout their time on property.

FOLLOWS UP with group leader to ensure satisfaction with services received.

MAINTAINS and insures the accuracy of customer data base information.

COORDINATES with Reservations to insure accurate numbers for lodging of group members at WinShape Retreat.


• 1-2 Years in planning events, preferably in the context of a hotel or conference center, or commensurate experience.
• Preferred two or four-year degree in Hospitality Management or related field.
• Proven professionalism in customer relations skills in maintaining effective working relationships with management, peers, clients and potential clients.
• Strong organizational and coordination skills, ability to prioritize tasks.
• Ability to anticipate needs and is highly responsive to requests.
• Effective, proven skill in written and oral communications.
• Ability to work independently and as a strong team player under time pressures without loss of poise, grace, or humor.
• Good computer skills including proficiency in Microsoft Windows, Word, Excel, and Outlook.
• Must possess commitment to excellence, see their work as a ministry, and have a heart for hospitality.
