Job Description:
The Administrative Assistant will handle the clerical, administrative, and ministry tasks associated with the work of Every Generation Ministries. This person will use their skills to support the president in his role of management, leadership, fund development, and work with the Board of Directors. The position is presently 30 hours/week with the opportunity for increase in the future.

Responsibilities and Activities:
Provide administrative support to the President including:
Assisting with ministry correspondence and communication including dictation, letter writing, envelope printing, mail merging and large mailings.
Scheduling appointments and maintaining an accurate calendar
Answering the telephone
Processing and responding to e-mail and voice mail messages
Updating the President’s social media communication (Blog, facebook, etc..)
Organizing and preparing meeting agendas, notes and minutes
Updating and maintaining task lists
Preparing expense reports and reconciling credit card statements
Preparing training materials, teaching notes and Power point presentations
Making travel arrangements (preparing itineraries, purchasing tickets, making hotel and car reservations, obtaining visas for international travel
Facilitating effective communication between members of the EGM staff team
Support special events such as golf tournaments, staff appreciation, banquets and other fund development events.
Work with the President, Chairman of the Board of Directors and Board Committee members to organize the regular Board meetings, including preparing the agenda and supporting materials. Oversee the distribution of those materials.
Prepare mailings including the Ministry Dashboard, Foundation Reports, relational database mailings, year-end appeal, annual report and other donor communications.
Work with the EGM Bookkeeper to receipt donors, make eTapestry entries and support donor receipting and communications.
Update the EGM master calendar with all country and regional events or travel.
Attend weekly staff meetings, helping the President prepare and lead the meetings.

Have a desire to work in a fast-paced, Christian work environment with meaningful organizational objectives.
Possess exceptional organizational skills with an ability to manage multiple projects, moving each to successful completion according to established deadlines.
Possess excellent verbal and written communication skills.
Have knowledge of and experience with administrative and clerical procedures and systems such as word processing, spreadsheets, record and file management as well as other general office procedures and terminology.
Familiarity with the Internet, Skype, Google mail and other web programs.
Be proficient in the use of MS Outlook, MS Word, MS Excel, MS Publisher and MS PowerPoint. (Knowledge of eTapestry relationship management database is a plus but not required.)
Willingness to be trained in needed skills.
Cross-cultural experience and language skills are a plus but not required.
