We are a Denver, faith-based, pro-life ministry currently performing a confidential search for an experienced, proactive Executive Assistant.

Position Purpose:

This position provides administrative support to the Executive Director and other senior management staff. The position handles details of a varied and confidential nature in performing assigned administrative duties for the Executive Director and the executive staff. It also participates on the Administrative Team to provide organization-wide support for multiple projects and events as well as administrative coverage.

Essential Duties/Responsibilities:
1. Provide confidential and administrative support to the Executive Director including donor contact management activities, fundraising event planning and support, and maintaining calendars for meetings and appointments.
2. Prepare reports from FileMaker Pro database, as directed.
3. Provide scheduling and proactive administrative support for donor and church-related activities and projects, ensuring that all program displays, meeting handout materials, video equipment, client-speaker arrangements are prepared well in advance and that the Executive Director and other senior team members are “presentation ready”.
4. Office organization, including supplies, deliveries, maintenance of office equipment, mail, and couriers.
5. Coordinate Alternatives’ Monthly Advisory, broadcast email news.
6. Perform various administrative, research and analytical tasks.
7. Provide back-up support for other members of the Administrative Team, including coverage for the Receptionist Desk, as needed.
8. Assist in the development, implementation and continuous improvement of standard operating procedures.
9. Perform additional duties and tasks as requested by management.

Job Qualifications

• Successful candidate must demonstrate proficiency in FileMaker Pro 9.0 database and preparation of CSV files.
• Minimum three years hands-on experience using MS Office (e.g. Excel, Word, Outlook, PowerPoint) researching the Internet, and using standard office equipment (e.g. photocopiers, fax machines, printers).
• To be successful, the Executive Assistant must view analytical and tactical responsibilities as ministry accomplished. This powerful team member must have a servant’s heart plus a blend of creative and strategic thinking skills to anticipate executives’ needs and organizational opportunities/obstacles relative to the broad goals of the organization and tactical attention to the detail-oriented work and follow-through required by the position.
• Minimum three years administrative assistant experience, with two years at the senior executive-level.
• Excellent oral and written communication skills.
• Proven history for handling sensitive matters in professional and confidential manner.
• Strong organizational skills, proactive business approach, and solid record of consistently providing excellent and timely follow-through.
• Strong interpersonal skills, promptness, accountability, reliability, self-motivation, and professional presence required.

• Communications or marketing experience.
• Broad knowledge of corporate operations and policies.
• Experience in a nonprofit organization.

The ideal candidate for this position is a self-starter who is organized, detail-oriented, and pleasant.
