Position Summary: The Administrative Assistant is responsible for performing a wide variety of secretarial and administrative tasks of a fairly complex and highly responsible nature on behalf of the HR department. This position deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload, and recommend changes in office practices or procedures. The Administrative Assistant is the singular person performing these tasks for the department.
Duties and Responsibilities:
Basic clerical tasks such as typing, filing, scheduling, obtaining supplies, making appointments and screening calls as directed. This includes handling confidential information.
Prepare correspondence. Gather appropriate information to facilitate response or draft response based on guidance provided. Prepare and proofread other departmental correspondence and documents, review grammar, construction, and format attachments.
Coordination and screening all initial communications to the HR department from those interested in serving with Cadence. Track employment and service inquiries. These inquiries come through phone, recruitment contacts, the mission web site, and e-mail.
Send out information packets and applications to contacts. Conduct follow-up.
Generate agenda and minutes for missionary appointments for Board Personnel meetings.
Track missionary activities, movement, and history through upkeep of HR Personnel files and other records.
Organize and maintain the recruiting contact information.
Maintain/update the Contact Log in Outlook; the mission’s World Wide Directory; and the mission’s roster.
Provide Design & Media with updated information for Missionary Board and website.
Assist with logistics of Candidacy and New Missionary Training events, Member Care Retreats and other events conducted periodically by departmental staff. Task would include facility research and rental, coordinating missionary travel scheduled, car rentals etc…These periodic events will require a limited amount of overtime.
Tracking of recruitment displays and/or other equipment and media.
Assist the department research and scheduling travel arrangements.
Assist the Vice President of HR and other departmental staff on projects as is needed.
Minimum Job Requirements
Born again, mature Christian with an affinity for the mission and work of Cadence International.
Because of the distinctly Christian emphasis of Cadence’s mission work, willing to sign and comply with Cadence International’s Code of Christian Conduct.
Resonates with the mission of Cadence and the value of military ministry.
Willing to join departmental staff in periodic prayer times for the needs of the mission, and to attend the weekly headquarters chapel held during work hours.
Ability to exercise considerable discretion in the handling of confidential or sensitive matters.
Knowledge of standard business written communications. Demonstrate strong written, verbal and relational communication skills.
Proficiency in Microsoft Word, Access, Excel, and Outlook, so as to produce a wide range of documents requiring formatting and revision.
Ability to learn and become proficient on software applications used by Cadence.
Strengths in administration, multi-tasking, and organizational skills

Ability to graciously re-prioritize workload as demands change throughout the day. Flexibility to meet demands of a dynamic work environment.
Specialized Knowledge: A general knowledge of Human Resources practices is helpful.
