  • Serve as the primary point of contact for internal and external parties on all matters pertaining to the President/CEO, including board of directors, advisory board and senior leadership teams of various entities
  • Organize and coordinate executive outreach, external relations and oversee special projects
  • Manage an extremely active calendar of appointments; complete expense reports; compose and prepare correspondence, often confidential; arrange complex and detailed domestic and international travel plans, itineraries, and agendas; and compile documents for travel-related meetings
  • Plan, coordinate and ensure management of the executives’ schedule; act as their "gatekeeper" and "gateway"
  • Manage communication on behalf of the executives with all levels of the organization and across various entities
  • Research, prioritize, and follow up on incoming issues and concerns including those of sensitive or confidential nature; determine appropriate course of action, referral or response
  • Work closely and effectively with the President/CEO and executives to keep them well informed of upcoming commitments and responsibilities, following up as appropriate
  • Partner with Executive Leadership Team on the President/CEO deliverables related to internal communications, employer branding, and employee events
  • Deliver critical communication with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the President/CEO’s ability to effectively lead the company
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
  • Assist board members, clients and candidates with travel arrangements, lodging, and meal planning as needed
  • Comply with applicable rules and regulations as set in the various businesses’ bylaws regarding board and board committee matters, including advance distribution of materials before meetings in an electronic/paper format
  • Coordinate and follow up on special projects for the President/CEO




  • Attend and participate in a variety of meetings and task force groups as directed and maintain required level of knowledge pertaining to operating procedures, requirements, processes and policies.
  • Lead and or participate in projects or task force groups which focus on issues having organization wide impact.
  • Perform or assist with any assignments as required or directed

  • Bachelor degree required
  • 5-7 years of experience supporting C-level executives
  • Exceptional verbal, written and presentation skills
  • Exceptional ability to organize, multitask and prioritize
  • Extreme attention to detail and excellence
  • High sense of urgency and initiative
  • Superb interpersonal skills and the ability to build relationships
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity and strong, sound judgment

  • Able to handle confidential information with discretion
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat
