POSITION: Assistant to the President

 

LOCATION: Chalmers Center Office, Lookout Mountain, GA

 

SUPERVISION: Reports primarily to the President and secondarily to the Executive Director of the Chalmers Center

 

EFFECTIVE DATE: December 8, 2015

 

POSITION SUMMARY:  Reporting to the President of the Chalmers Center, the Assistant to the President executes a wide variety of administrative, professional, and personal tasks, representing the President to both internal and external constituencies.  In addition, the Assistant will report to the Executive Director of the Chalmers Center for human resource issues and for coordinating tasks with the other staff of the Chalmers Center.

 

PRIMARY PURPOSE:  To leverage the President’s time so that he can more effectively fulfill his responsibilities at the Chalmers Center and at Covenant College.

 

RESPONSIBILITIES:

    1.    Administrative

  • Assist the President with scheduling, including working with the President to prioritize meetings and keeping the President’s calendar up to date
  • Handle incoming calls and emails for the President, including follow-thru to ensure completion of tasks
  • Make the President’s travel arrangements and itinerary, coordinating with host organizations and relevant staff at the Chalmers Center
  • Prepare materials for Speaking Committee and communicate outcomes with various speakers and host organizations
  • Provide technical support for the President with respect to webinars, social media, audio-visual systems, and computers
  • Order books and other resources
  • Submit reports for all expenses and revenues
  • Assist with details of courses at Covenant College, including photocopying, grading objective material, placing materials on reserve with library

    2.    Professional

  • Serve as liaison for the President with both internal and external constituencies
  • Assist with writing books, articles, and blogs:
    1. Work with graphic designers on figures, tables, and illustrations
    2. Ensure proper citation of references and securing copyright permissions
    3. Format layout of final documents to meet publisher requirements
    4. Obtain endorsements
    5. Conduct background research
    6. Summarize literature on various topics
    7. Prepare written drafts of content
  • Prepare materials for presentations, including PowerPoint and Keynote slides, handouts, and videos
  • Assist the President with administrating the design and content of the Helping Without Hurting Seminar:
    1. Editing agenda and workshop descriptions
    2. Interfacing with workshop presenters and worship team
  • Attend some meetings and speaking engagements with the President
  • Correspond with financial supporters and leaders in the global church

    3.    Personal

  • Look for ways to make the President’s life more efficient, sustainable, and less stressful
  • Be proactive in helping the President to show appreciation to donors, hosts, and staff members
  • Conduct errands that will enable the President to better serve his family, the Chalmers Center, and Covenant College

QUALIFICATIONS:

  1. Deep commitment to the vision, mission, and values of the Chalmers Center
  2. Adherence to the Lausanne Covenant, a statement of evangelical Christian belief
  3. Demonstrated love of the local church and its ministry
  4. A heart of service and a willingness to play a supportive role
  5. A deep commitment to integrity and transparency in all communications
  6. High attention to detail
  7. The ability to organize in the context of significant multi-tasking
  8. Excellent independent problem-solving skills  
  9. Flexibility to work in a fast-paced, collaborative work environment
  10. Outstanding writing, editing, and proofreading skills, both in terms of style and mechanics
  11. Outstanding oral communication skills 
  12. Proficiency in Mac OS X, Office for Mac, Keynote, PowerPoint, and the ability to learn new software
  13. Demonstrated competency in conducting background research
  14. Ability to be “on-call” for administrative support when President is traveling, including some weekends
  15. Ability to travel up to 8 days per year
  16. Bachelor’s degree required
