The Parish Records Administrator provides daily oversight of the church’s database, maintains sacramental records, processes membership records, maintains a volunteer database, and assists the accountant as needed.


General Duties

Church Database (PowerChurch)

  • Update PowerChurch database and Constant Contact email list, including contact information, photos, and notes
  • Establish and maintain volunteer database within PowerChurch
  • Assist staff with proper use of the database
  • Extract reports and labels for volunteers
  • Field parishioner requests for parishioner contact information

Sacramental Records

  • Maintain parish sacramental records, including weekly attendance, baptisms, marriages, and burials
  • Prepare annual parochial report and other documents as requested by the Diocese of Washington
  • Prepare sacramental certificates for distribution, including baptisms and confirmations

Online Parish Pictorial Directory (OneBody)

  • Maintain online parish pictorial directory on OneBody software, uploading pictures and ensuring the synchronization of data between PowerChurch and OneBody
  • Assist parishioners in the access and use of online parish directory


  • Identify parish print materials for preservation and archive appropriately
  • Assist in the organization and storage of printed photographs


  • Assist accountant with credit card management
  • Assist accountant with personnel file management
  • Work with rector, accountant, and volunteers on the annual pledge drive
  • Assist accountant with periodic mailings

Electronic Files

  • Establish guidelines for shared electronic files and update annually
  • Maintain electronic files on staff “Shared” drive

Other Duties

  • Fill in at receptionist desk when Office Administrator is away from desk
  • Attend weekly staff meeting


  • A servant’s heart, compassion, maturity of Christian character, and attentiveness to the needs of the congregation, staff, and visitors
  • Competence in MS Office, especially Word, Excel, and Outlook
  • Familiarity with Constant Contact, PowerChurch, and OneBody a plus
  • Excellent verbal and written communication skills
  • Ability to multi-task and attend to detail
  • Strong problem-solving and organization skills
  • Flexibility and ability to work well under pressure
  • Good teamworking skills
  • Willingness to attend trainings and seek out ways to constantly sharpen skills, particularly further training in Excel, PowerChurch, and OneBody
