Job Description:



Location : Remote position,  USA

Reports to: Chief People Officer (CPO), based in Portland OR 


Works closely with:  Operations team especially Finance, Recruiting,Training and Staff care and Development leaders


Direct reports:  Intern coordinator,  regional HR liaison(s), Transitions coordinator and  potentially Administrative assistant


Position Summary:  Seeking a highly motivated individual to provide coordination and oversight of Human Resources  administration services for Christian Associates in the areas of  onboarding, assessment/placement, staff retention, HR administration including payroll and benefits.  Also responsible for compliance with all local and national laws in countries where we have staff.


Funding and benefits :  This is a salaried position.  Salary range : $30 - $37 k  depending on experience. Paid vacation, holidays and sick leave.  CA does not hold group medical or retirement policies.   It is possible to supplement this salary with personal fundraising for additional benefits.  

Principal Duties & Responsibilities:  

  • Supervises application processing

  • Organize and run US based candidate assessment  events,  providing logistical coordination to event and serving on assessment team.

  • Ensures due diligence for all new staff appointments including reference checks and background check.

  • Responsible for onboarding of all new staff, including administration, connection with training and transition services, orientation to CA systems. Ensures that all new staff are closely tracked through deputation and transition processes.

  • Works with CPO and team leaders to finalize placement decisions.

  • Drafts and finalizes all memo's of understanding and staff agreements with new staff and current staff as needed

  • Works with Finance Director to review and finalize support plans and set up for payroll.   Approves final salaries and negotiates reductions, increases as needed.

  • Responsible for maintaining all Workers comp policies in USA

  • Ensure HR compliance in USA, responsible to research employment laws for each new hire.  Work with  HR liaisons in other regions to ensure compliance with local employment laws.

  • Maintains HR data base and personnel files in compliance with all state and federal laws.

  • Tracks and maintains staff list and statistical data including attrition rate, retention rate and other metrics as requested by CPO.  Provides data for quarterly Board reports.

  • Advises staff on medical benefits and insurance options

  • Advises staff on retirement benefit as requested

  • Together with Transitions coordinator assist staff in transition, providing resources, and drafting transition plan. Performs exit interviews. Communicates with finance and other key operations staff regarding staff transition plans and resignations.

  • As requested by CPO drafts and implements policies for all staff. Keeps policy and procedure manual updated, with major review every two years.

  • Oversee HR administration budget.

Qualifications and Experience needed:  

  • BA degree in Human Resources or equivalent in non profit management.

  • 1- 3 years work experience preferred, preferably in non profit or faith based organization

  • Prefer some overseas missions experience.

  • HR certification preferred

  • Good to excellent software skills, preferred experience with Google docs, Microsoft office, Skype and Salesforce.

  • Flexible schedule to accommodate meetings across multiple time zones

  • Willingness to work remotely and independently

  • Ability to work independently with limited supervision, self motivated and disciplined

  • Ability to travel internationally one-two times per year; domestically two to fours times per year

  • This is a remote position , must provide own computer and home office space.
