Job Description:

Purpose: The Student Services Associate is mainly responsible for assisting the Director of Student Services in providing support (administrative and programmatic) to students throughout their seminary training at the San Jose campus. The Student Services Associate will also provide administrative support in the area of donor event relations.


Hours:  20 hrs/wk (mostly daytime Monday through Friday, but may include some evening and Saturday hours)


Accountability: The Student Services Associate will work under the direction of and be accountable to the Director of Student Services with collateral reporting functions to the Executive Dean at the San Jose Campus as outlined below.


Student Services Support:

  • Help with organizing/coordinating events (New Student Orientation, Graduation, Student Lunches/Bagel Days)
  • Prepare Class & Attendance Rosters for first day of classes
  • Help w/ course syllabi – edit/format, link required texts to Western’s Amazon Associates account
  • Manage key card distribution (students and faculty); work with building management personnel
  • Manage lock-up schedule
  • Coordinate classroom assignments each semester
  • Assemble and distribute Student Directory twice per year (Fall/Spring)
  • Assign/update student mailboxes; print hard copy lists to post
  • Manage Student ID Card Requests and distribute each semester
  • Process some paper registrations/forms (Academic/Financial Petitions, Non-Credit App/Reg Forms, Independent/Individualized Study Forms, etc.)
  • Help with phone calls to newly admitted students – helping students navigate SIS, get registered for classes, connect with advisor, etc.
  • Create permanent files for matriculated students
  • Help with semester class schedules – brainstorm ideas
  • Collaborate with Director to implement new or improved services/support to students
  • Additional duties as assigned by Director of Student Services


Donor Relations:

  • Assist in event planning and provide administrative support @5.0/0.13 fte hours weekly
  • Coordinate donor and prospect list updates per leads generated by Regional Development Officer
  • Assist in promoting and facilitating development-donor gathering events via communication correspondence with constituents
  • Support in-house and outside event activities (i.e., Gatherings, Community and Donor events)
  • Other identified campus-wide events



  • Must possess a Bachelor’s Degree
  • Ability to prioritize and manage multiple tasks with efficiency and composure
  • Excellent organizational abilities; efficient in completing tasks/projects
  • Excels in communication, both orally and in written form
  • Excellent proofreading skills; high attention to detail/accuracy
  • Outgoing, friendly, customer service oriented
  • Ability to work well as a team player
  • Strong work ethic; self-starter and finisher
  • Capability to deal maturely with sensitive/confidential information
  • High level of proficiency with PC-compatible computers
  • Familiarity/ability with Microsoft Office Suite products
