Job Title:           Development Coordinator         Department:  Development


Reports To:     Vice President, Development    Status:  Full-Time/Salaried/Non-Exempt




The Development Coordinator position exists to provide administrative support for the Development Department and for the Vice President of Development by providing information management, attention to detail and meticulous follow-up.



  • Provides administrative support for the Development Department
  • Assists VP of Development with:
  • Maintaining Department Calendar
  • Updating Regional Donor Map
  • Making thank you calls or writing thank you notes to donors, or drafting other correspondence, as directed by VP of Development
  • Coordinating volunteer and part-time donor assistants’ assignments
  • Planning and execution of Development events, to include: guest lists, registration materials, scheduling, set up, errands, centerpieces, collateral materials,  etc.
  • Liaising with suppliers,  ordering materials for Development events, and preparing all materials in advance of any events
  • Evaluating and implementing improved Development Department procedures and processes
  • Managing supplies of department materials to support department activities
  • Handling research and seeking out information for proposals and other development projects for a growing area of the organization
  • Managing Development Department projects, including setting timelines, milestones, deliverables, and handling follow up as needed
  • Maintaining schedule for proposal submissions to foundations, handling follow up, and setting required reporting dates for approved grants
  • Preparing proposal packets for major donors and foundations
  • Arranging travel needs for VP of Development and guests, as needed
  • Following established donor protocol procedures in relationship management
  • Assembles and distributes department materials, resources, and correspondence, including but not limited to: grant proposals, Christmas and other occasion cards,  and other correspondence from Development Department
  • Receives visitors and answers department’s main line with a high standard of professionalism
  • Prepares and distributes daily email reports to recipient lists
  • Retrieves and updates data for monthly donation logs and weekly cumulative giving reports
  • Represents Family Talk and the Development Department with grace, composure and discretion, and extends world class hospitality in word and action whether by phone or personal contact with visiting constituents



  • Updates and corrects donor database with contact information, notes, flags, etal.
  • Compiles and analyzes information for department and organization
  • Inputs data into computer terminals, utilizing existing software
  • Serves as a back-up for telephone communications in the Office of the President, and willingly assists with other ministry departments’ needs when called upon
  • Prepares, proofs, corrects and/or summarizes reports,  records, and other department documents as needed
  • Performs other duties, as assigned

B.A. degree in Communications or related area, or training/education equivalent to four years of college

Three to five years’ experience in a development support role

In-depth knowledge of Family Talk’s mission, philosophy, values, and objectives


  • Proven track record of strong communication skills (oral and written)
  • Sensitive to spiritual needs of donors with a desire to minister to donors and their families
  • Ability to multi-task, set priorities and maintain a positive attitude
  • Ability to work cooperatively and with flexibility as part of a team
  • Ability to exercise complete discretion, apply courtesy and tact required when dealing with individuals on telephone or in person
  • Ability to establish and maintain rapport with various levels of staff across the ministry
  • Ability to respond appropriately to employees, constituents, and executive management, especially during high-pressure situations; team player
  • Ability to work in a fast-paced environment and to adjust priorities as required
  • Good mathematical and analytical skills to develop and monitor reports as needed
  • Good leadership capabilities to coordinate administrative and volunteer workflow
  • Type 55+ wpm with high degree of accuracy
  • Proficient in the use of computer hardware and software, especially Microsoft Office products such as Word and Excel
  • Familiarity with most general office equipment
  • Detail-oriented
  • Willingness and ability to safeguard the ministry’s integrity when handling confidential information
  • Willingness and ability to work extended work hours when needed



General Office environment

Requires walking up and down stairs, some lifting, sitting, and working at computer

Interacting with others for information gathering, training, and feedback

Some local driving required

May include occasional local or national travel
