Job Description:
Vision House is a Christian, non-profit that provides transitional housing for homeless men, women and children.

Job Purpose/Context:

This position provides administrative support to Office, Program and Development staff including general clerical, receptionist and project based tasks with an additional component of recruiting and coordinating volunteers to support Vision House programs.

Key Responsibilities:

Administrative Support

Answer phone and return messages
Respond to calls for housing applications
Mail out housing applications, maintain application database and file
Manage and/or adapt In-Kind Donations process: incoming calls and requests and disbursement
Assemble Case Files, CM Handbooks and Orientation binders as needed (or assign)
Perform criminal background checks for potential clients or volunteers
Coordinate new staff welcome process
Assist Office Manager with incoming financial donations, acknowledgement and receipt processes as needed
Assist Office Manager with grant proposal preparation as needed
Assist Office Manager in appeal preparation: preparing letters, envelopes and other materials and arrange volunteers for prep and mailing
Attend and help facilitate Tuesday night childrens program (1st and 3rd Tuesday of month)
Participate in weekly staff meetings
Other administrative duties as assigned
General errands as needed

Coordinating Volunteers

Schedule and coordinate weekly/monthly volunteers
Assist Child Advocate scheduling, supervising, training and maintaining child care volunteers
Facilitate church and other group volunteer projects (sometimes on a Saturday)
Recruit and process new volunteer information (i.e. application, background check, reference checks)
Enter volunteer information into database
Keep volunteer files updated and organized
Conduct Volunteer interviews and training
Send "thank you" and birthday cards/gifts to volunteers
Track volunteer hours, run quarterly L & I reports for accounting
Work with events coordinator with volunteer support to facilitate events (i.e. set up, tear down etc.)
Back up Donor Development Coordinator as needed to staff VH booth at mission conferences or church presentations
Support Program Manager or Maintenance Manager on facility management


Bachelors Degree or equivalent on-the-job experience
Basic reading, writing, and arithmetic skills required.
Proficient in Microsoft Word, Excel, Outlook, and Publisher
Database experience (Donor Perfect) preferred
Excellent Written and verbal communication skills
Ability to multi-task and provide diverse program support
Ability to take direction from different departments

Compensation: #13.50 - $14.50 hourly DOE, non-exempt
