Job Description:

The Accounts Receivable Clerk is responsible for processing payments and refunds, monitoring account balances, and processing collections.  Additionally, the AR clerk is responsible for booking group cancellation insurance for all group travelers, maintaining the group policies and updating them as necessary. 


  • Receiving and monitoring payments
  • Scan and process payments and applications received
  • Monitor and generate automated emails to follow up on late payments
  • Communicate with travelers and parents regarding custom payment plans, late registration, late payments, late fees, cancellations.
  • Receive phone payments and submit for processing
  • Book and maintain Group Cancellation Insurance (Travel Guard)
  • Book Group policies
  • Update Group Policies as necessary (late registrations, cancellations, replacements)
  • Email groups without Group insurance regarding individual insurance
  • Book individual policies
  • Assist in providing information to file Travel Guard claims
  • Identify charges for group policies to report to AP
  • Submit Refunds for processing
  • Review accounts for overpayments
  • Request credit card and check refunds
  • Monitor refunds are processed and posted according to policies
  • Other Miscellaneous Duties, as needed
  • Generate reports on request
  • Filing, as needed


  • Accounting experience or education required
  • Experience with MS Office, Proficiency with MS Excel
  • Strong written and verbal Communication Skills
  • Customer Service Experience
